Personal Information Collection Statement
This statement is made under the Personal Data (Privacy) Ordinance of Hong Kong. It covers the three forms on this website: joining, signing up for a service day, and contacting us.
What we collect
Your name and your email address. Then, depending on the form: the service day you are signing up for, what your message is about, the areas of service that interest you, a phone number, and whatever you write in the message box.
What you must give, and what you may
Your name and email address are always needed, because without them we cannot reply. The sign-up form also needs the day, and the contact form needs a subject and a message. Everything else is optional.
Why we collect it
To reply to you, to handle your request to join, and to arrange the service day you signed up for. If you become a member, we also use your details to tell you about the club’s meetings and service days. We use them for nothing else.
Who sees it
The members of the club’s board. We do not sell your details, and we do not pass them to anyone outside the board without asking you first.
How long we keep it
Until you ask us to delete it, and in any case no longer than the Rotary year after you leave the club. A Rotary year runs from 1 July to 30 June.
Your rights of access and correction
You have the right to ask for a copy of the personal data we hold about you, and to have it corrected. You may also ask us to delete it. Send your request through the contact form, choosing ‘Something else’, and the club’s board will deal with it.

Photographs from the club’s archive
The photographs of past years on this website come from the club’s own public archive, 2010 to 2022. If you are in one and would like it removed, tell us through the contact form and we will take it down.
